Experience

Administration:

  • Coordination and provision of required documents to the Interior Ministry, and various security agencies for obtaining expatriate visas.
  • Managing ex-pat staff time schedule and maintaining their files
  • Managing Expat rotation and business travel
  • The primary point of contact for all travel-related queries, problems, and day-to-day airport-related movement requirements.
  • Work with key stakeholders including Travel Management Company (TMC) and contracted Contingent Labour Agencies for travel approvals, adjustments, and emergency action.
  • Assessing all issued visas for accuracy and compliance, identifying errors, and rectifying as required.
  • Charter bookings require multi-destination coordination.
  • Review travel requests and ensure continued compliance with mandatory travel prerequisites certificates.
  • Processing bookings on airport vehicles in line with commercial flight requests.
  • Daily forecasting of movements for travel inbound and outbound, providing reports to Security for Armed Protection Team (APT) allocations and access control requirements.
  • 24hr Emergency contact for all inbound travelers worldwide.
  • Act as the Person on Board (POB) Coordinator for the Incident Management Team (IMT) as and when required.
  • Act as the POB Coordinator in Adhoc muster operations.
  • Liaison with stakeholders in emergency situations; assisting Security, Chief of Staff, IMT, and Travel Lead.
  • Electronic database management for all personnel profiles, ensuring links between flight arrivals and departures are managed and maintained for POB accountability reports.
  • Accountable for all passports submitted for blood, visa, and various passport processing requirements.
  • Responsible for identifying specific requirements for blood tests and visa types and advising on achievable timescales for completion, to enable individuals to carry out site-based work and depart the country within scheduled visits.
  • Maintain electronic personal files for all personnel’s visas recording key information in a database for accountability and submission for Ministry of Interior auditing.
  • Manage the movements team ensuring sufficient cover is provided during holidays/sick periods to mitigate the impact on blood and visa processing timescales.
  • Provide training, guidance, and personal development support to the movements team
  • Assist in the coordination of medical evacuations as required by the Medical department.
  • Provide support to Reception staff daily for Vantage profile updates and accommodation allocations.
  • Organize the seminar and workshop for the organization
  • Coordination and provision of required data to the Interior Ministry, Economic Affair Division, for obtaining the annual registration of the organization.
  • Coordination and provide data to Pakistan Center for Philanthropy (PCP) as per their requirements for obtaining the certification from the government to fulfilling the compliances in the below-mentioned areas:
